This Privacy Policy explains how we collect, use, and safeguard your data when you use this application for official business purposes.
1. Information We Collect
The ERI Mobile Ops application collects data only when you actively initiate tracking (e.g., by toggling “Start Shift” or “Start Mileage”). The information collected includes:
- Geolocation Data: GPS coordinates (latitude and longitude) to verify site arrival/departure, track travel mileage, and confirm locations while working off-site or “Out of Office.”
- Usage Data: Shift status flags, timestamps, and active status duration.
- Device Information: Device battery level (to ensure tracking continuity).
We do not collect any location or movement data outside of the periods you have actively toggled the application to an active state.
2. How We Use Your Information
Data collected by ERI Mobile Ops is used exclusively for legitimate business operations, including:
- Payroll & Reimbursement: Automating IRS-compliant mileage logs for accurate expense reimbursement.
- Operational Verification: Verifying arrival and departure times at regional client sites, confirming attendance for off-site assignments, and managing location logging for “Out of Office” business activities.
- Safety & Compliance: Ensuring the general safety of field representatives and maintaining compliance with federal labor and tax guidelines (e.g., FLSA, IRS).
3. Data Security & Storage
Your privacy and data security are managed through internal corporate protocols.
- Storage: Data is stored in a secure, private database located behind our internal corporate firewall.
- No Third-Party Sharing: ERI does not sell, trade, or share your location or tracking data with third-party tracking brokers or marketing entities. Access to your data is strictly limited to authorized management personnel for the business purposes defined above.
4. Data Retention
We retain collected data for the minimum duration required to fulfill business purposes and comply with federal and state regulations, including IRS and FLSA requirements regarding payroll and expense documentation. We maintain this data as part of our internal records to ensure compliance with long-term record-keeping mandates.
How to Request Data Deletion: If you are a former employee or contractor and wish to request the deletion of your personal data, you may submit a written request to the ERI IT Department or your direct supervisor. Upon receipt of your request, ERI will review the data to determine what can be securely deleted while maintaining our legal obligations for tax and labor compliance. We will notify you once the review is complete and advise you on the status of your request.
